IOAC Terms and Conditions

We highly recommend you read the following the following terms and conditions carefully. By booking a site/accommodation/activity with us you agree to abide by IOAC’s terms and conditions and site rules.

Our Cancellation Policy

IOAC operates a reasonable cancellation policy.

If a booking is cancelled at any time prior to 7 days of your arrival date, we would be happy to provide you with a full refund.
If you are cancelling after 7 days but before 3 days of your arrival date, we offer a 50% refund.
Any cancellations made within 3 days of your arrival or any stage on or after your arrival date, we are unable to offer you a refund.

All cancellations must be made via email to [email protected]. Any cancellations made by phone or left via voicemail will not be valid.

Any card refund may take 5 – 10 business days to reach your account.

All cancellations apply to the original arrival date of the booking.

Booking Confirmation

A 50% deposit payment of the total cost of your stay is required to secure your booking. If no payment is received on your booking within 24 hours, it will automatically be cancelled.

The balance payment can be paid prior to your arrival or by credit card, debit card of cash on arrival.

Any changes to your booking must be made via email to [email protected].

Rescheduling Policy

Any rescheduling of dates will be facilitated at no cost if notice is given 10 days prior to your arrival.

If a rescheduling of dates in necessary within 10 days of your arrival, a €25 rescheduling fee will apply.

All rescheduling applies to the original arrival date of the booking.

Pitch Allocation

The pitch number shown on your confirmation email is your current allocation and may be changed prior to your arrival due to site operations or availability.

Specific pitch requests must be noted on your booking or requested by email to [email protected] prior to your arrival. We will do our best to accommodate your request; however, specific pitch requests cannot be guaranteed.

If no specific pitch has been requested, your allocated pitch may be changed to another suitable pitch prior to your arrival.

Conditions of Booking

IOAC operate a strict quiet time on campus from 11pm – 8am. We reserve the right to decline or terminate the booking of any guest(s) whose party make-up or behaviour interferes or may interfere with the general comfort of other guests. In this event, no refunds will be made.
For safety, our activity lake is out of bounds at all times unless accompanied by IOAC activity personnel.
Children, including teenagers, are always, the responsibility of their parents’/guardians.
No fires are permitted on the ground. This applies to BBQs also. Disposable BBQs should not be lit on the ground or on our picnic tables.
We welcome dogs and their responsible owner here at IOAC. Dogs must be controlled at all times and cleaned up after.
If a group booking is made, the balance must be paid on arrival. The payment must be paid in full. IOAC will not be able to facilitate splitting the balance.
At the IOAC we will not tolerate any for of threatening behaviour or aggressive behaviour toward our staff. We reserve the right to refuse admission or removal from the campus if this occurs. In this event, no refunds will be made.

Non-Arrivals

Notification of your non-arrival must be given by email to [email protected]. If no notification is given, and the pitch is not occupied by 12md the day after the booked arrival date, then IOAC reserves the right to re-let the pitch. Please note that in the absence of adequate notification, no refunds will apply and the booking is non-transferrable.

Arrival and Departure

On arrival, all visitors/guests must report to Reception, located in the main carpark. Your arrival is welcome from 2pm for camping/caravan/caravan booking and from 3pm for glamping.
Access to the campsite will not be permitted until payment is received in full.
Check out time on the day of departure is 12md for campervans/caravans/camping and 11am for glamping.
Should you decide to depart the IOAC before the date set out on your booking, no refunds will apply in this case.

Glamping Accommodation

You must use your accommodation and its contents with care and leave it in a clean and tidy condition on departure. We reserve the right to charge you for any extra cleaning, missing items or damage.
We reserve the right to enter your accommodation at any time for any reasonable purpose, for example, to make checks, maintenance work or housekeeping.

Trespass and Neighbouring Property

Guests must remain within the boundaries of the IOAC premises and within any areas specifically designated by IOAC for guest access. Entry to any adjoining or neighbouring land, property, premises, fields, buildings, yards, or other areas which do not form part for the IOAC premises is strictly prohibited unless the guest has the express permission of the owner or occupier of that property.

The person or organisation making the booking (“the customer”) is responsible for ensuring that all members of their party, including children, participants, leaders, employees, contractors, guests and visitors associated with the booking, are made aware of and comply with this requirement.

Unauthorised entry onto the neighbouring property will be regarded as a serious breach of these terms and conditions. Where IOAC reasonably believes that a member of a booking party has entered neighbouring property without permission, IOAC may require the person concerned, or where appropriate the entire booking party, to immediately cease the conduct and comply with any direction given by IOAC staff.

Where the trespass is deliberate, repeated, causes or is likely to cause nuisance, damage, disturbance, conflict or risk to IOAC or a neighbouring property owner or occupier, or where a person or group fails to comply immediately with a direction from IOAC staff, IOAC reserves the right to terminate the booking with immediate effect and require the person or entire booking party to leave the premises.

Where a booking is terminated for such a serious break, no refund will be payable in respect to the unused portion of the booking, to the extent permitted by applicable law.

The customer will also be responsible, to the extent of permitted law, for any loss, damage, cost or expenses reasonably incurred by IOAC arising directly from the actions of members of their booking party in connection with unauthorised entry into neighbouring property.

Nothing in this clause limits any statutory rights which cannot lawfully be excluded or restricted.

Group Accommodation

Invoice Policy

A 50% deposit payment of the total cost is required within 14 days of receiving the invoice to secure your booking. If no deposit is received within the required time, your booking will be cancelled.
Final participant/guest numbers must be confirmed with IOAC no later than 7 days before your arrival date. Any reduction in numbers within 7 days of your arrival will not qualify for a refund, and the booking will remain payable based on the numbers confirmed at the 7 day deadline.
If you wish to increase your numbers within 7 days of arrival you must contact the IOAC in advance for approval. Any increase will be subject to availability and our ability to accommodate the additional participants/guests. We strongly recommend confirming your numbers carefully before the 7 day deadline to avoid unnecessary charges or disappointment.
All amendments to your booking/invoice must be made via email to [email protected].
The full balance of your invoice is required 7 days prior to your arrival.
Bank details can be found on the bottom of your invoice.

Group Booking Conditions

No fires are permitted on the ground. This applies to BBQs also. Disposable BBQs should not be lit on the ground or on picnic tables.
No vehicles are permitted to stay in our Scout and Guide campsite or at The Adventure Academy overnight. All vehicles must vacate the campsite before 8pm each evening.
Buses and coaches may dive up to the Scout and Guide campsite and The Adventure Academy; however, they may not stay longer than 1 hour. We ask that all buses/coaches check-in at reception upon arrival, before entering the campsite. It is, always, at the discretion of IOAC if the bus may go up to the Scout and Guide Campsite on the day of your arrival.
Pioneering poles and firewood are provided by IOAC and operate on a first come, first served basis. We ask that you treat all equipment with care.

Arrival and Departure

Check-in for the Scout and Guide campsite is from 2pm on day of arrival and check out is 1pm on day of departure.
Check-in for The Adventure Academy is 3pm on day of arrival and check-out is 10am on day of departure.

Activity Bookings

All activity bookings fall under our general cancellation policy.
All guests are required to check-in at minimum 10 minutes prior to their scheduled activity time.
All activity participants must sign Acknowledgment of Risk Forms and present it and reception. Anyone who does not have this form completed will not be able to participate in activities.
All activities begin at a set time and run for a set period. Anyone who arrives late or finishes early does so of their own accord and therefore is not entitled to any special allocations.
We do not offer refund, credit note or change of activity for change of mind.
IOAC will not tolerate any form of threatening or aggressive behaviour toward our staff. We reserve the right to refuse or removal from the activity if this occurs. In this event no refund or credit will be given.

Changes To Your Holiday/Activities by IOAC

IOAC cannot accept responsibility or compensation for circumstances beyond our control including (but not limited to) natural disasters, industrial disputes, fire, technical problems, bad weather, acts of government, etc. The IOAC will use reasonable endeavours to ensure that it is open for use during normal opening hours.

General/Liability

All vehicle’s/caravans etc. are parked at the owner’s risk. The management accept no liability for loss or damage while on the park or otherwise.
Anyone found vandalizing or causing damage to any building, equipment, or property of the park faces immediate eviction and/or prosecution. The person who booked will be responsible for all charges for all damage/breakages/loss caused by themselves or their visitors to the site or park facilities or other customer’s property.

The IOAC reserves the right, in its absolute discretion, to refuse entry on to or remove from its premises or the vicinity any person who:

Has been convicted of a criminal offence.
Has behaved in a manner or is likely to affect the safety or enjoyment of other visitors.
Has used threatening, abusive, or insulting words or behaviour or in any way provokes or behaves in a manner which may provoke a breach of the peace.
Is thought to be under the influence of alcohol or other substances.
Is staying on the park for any other use apart from holiday use.
